HFHA has developed SHARP (Subsidised Housing – Affordable Rental Program). This utilises HFHA’s unique characteristics as a registered charity as well as being a Community Housing Provider. The program is about providing subsidised longer-term rental tenure to housing disadvantaged people in order for them to lead an improved quality of life and reduce the untenable financial strain that they currently suffer. The unique characteristics of SHARP provide a better outcome for the occupants and also the property community charged with delivering affordable housing apartments.

The Program is in its infancy and so we seek a mature and experienced property asset manager who is prepared to donate a day or two of his/her time to help establish the administrative side of the program. It would be our intention to ultimately outsource the property asset management function when the Program gets scale, but at this stage, this experienced assistance will provide the important bedrock for a successful, impactful affordable housing program, destined to change the way forward in affordable housing.

Essential Requirements:

  • A strong customer service ethic and skillset
  • A minimum 10 years’ experience in property/ construction project management
  • Proven property management track record
  • Good interpersonal and communication skills

The Property Asset Manager – SHARP may be required to initially provide a range of functions including –

  1. Responsibilities
  • Oversee flawless functioning of the SHARP property management function and delivery of services in accordance with HFHA policies on an ongoing basis.
  • Familiarise and implement the available HFHA housing-related policies that apply to SHARP
  • Take responsibility for the drafting, coordination and management of all Lease and Sub-lease related documentation including required lease registration
  • Liaise with HFHA legal advisers on all SHARP related documentation including, should the need arise, dispute resolution
  • Implement systems to generate a scalable and reliable property asset management function within HFHA (e.g. automated IT asset management platform).
  • Ensure regular reviews of workflows associated with Property Management function to identify and fix any non-adherence or slip-ups
  • Continuously strive to improve quality of delivery by improving workflows
  • Approval of Payments / Refunds
  • Property Level P&L, Accruals, Head Lease & Tenant Lease Reconciliations
  • Reduction of Credits & Unapplied Receipts
  • Arrears follow-up and Escalations
  • Ensure accuracy of the portfolio database through active quality assurance practices.
  • Ensure delivery of all KPIs associated with property management function
  • Outgoings, Make Good, Fit Out, Tenancy Meetings & reporting, Arrears & Credits Management and Reporting
  • Collaborate with the larger HFHA team in trying to grow and improve SHARP including better management of Workorders, Incidents, Escalations and reporting.
  • Ensure an ongoing coordination/ partnership between the Finance team for effective management of Arrears, Payments, Budgets, Accruals, Property Level P&L, Urgent Payments / Refunds, Outgoings reconciliations, Landlord Statement Reconciliations, EOFY requirements
  • Identify challenges and work on improvements with the Finance team for SHARP
  • Ensure an ongoing partnership with the Habitat Women Services team for better management of Instructions, query handling, turnaround times, documentation, cut off dates and other critical issues.
  • Continuously lookout for areas of improvements i.e. by improvements in the current available technology to identify improved efficiencies in our delivery model

Desirable Qualities:

HFHA seek an experienced and professional property asset manager, ideally with previous leadership and senior property experience – particularly in residential property management. The ideal person will want to ‘do good’ for others and value the purpose that working for an organisation like HFHA provides. The ideal candidate will value communication, being a true team member and sharing knowledge and suggesting improvements where they are possible. The person envisaged will place a high value on the outcome that SHARP promises to provide.

In addition desirable attributes of the ideal candidate will include:

  • Strong work ethic
  • Experience with affordable housing and/or volunteering experience
  • Proven critical thinking, problem solving and decision-making skills
  • High level organisational and administrative skills – including word processing, excel spreadsheet, property management software and database software experience

Other Requirements

  • The successful applicant will need to provide evidence of a clear criminal history and adhere to HFH’s Code of Conduct, policies and procedures including the Child Protection Policy.
